Board of Directors:

The day to day operations of the PF HOA are run by an all-volunteer Board of Directors, along with help from many other committee volunteers. The Board establishes the annual dues assessment and is responsible for using the money assessed to maintain and improve HOA property and offer programs which are of value to Prairie Fields residents, thereby increasing the value of the neighborhood.

The Prairie Fields HOA is governed by a Board of Directors (BOD), per the PF HOA BYLAWS. The Board exists to represent and support all members of the homeowners association. Each member of the Board is elected to a two year term, with an election held in the fall of each year for the vacancies of the following year.

Meeting Times, Minutes, and Statements:

The BOD generally meets at 8:00 PM on the second Monday of each month in the library at Carrie Busey School. See the calendar for current scheduling. The Board may also meet at other times as deemed necessary by the President, and conducts business via email, too. All email items are discussed at the regular monthly board meeting, so that the meeting minutes reflect emailed action.

Official Duties of Board Members:

In general, board members are expected to arrange for the care and upkeep of the commons areas. To do this, they enforce covenants, restrictions, agreements, and rules and regulations to protect the homeowners relating to the use of common areas and personal conduct of HOA members. They also regulate, plan, and approve all landscaping, improvement projects, erosion control, architectural issues, and usage of the commons areas. Insurance is secured as neccessary or advisable by the board. Any questions concerning maintenance, repair, improvements, changes, or additions to the commons areas can be directed at them.

Pertaining to fees, board members set the amount of HOA fees and enforce collection. At the end of each year, they prepare a summary of the accomplishments, including a summary of fiscal expenditures. In preparation for next year, they will produce a budget for the next fiscal year for submission to the membership. Certain duties are enforced by specific board members as indicated below.

  • Presides at all HOA Board meetings
  • Makes sure orders and resolutions are carried out
  • Signs all contracts
Vice-President:
  • Takes the place of the President when he/she is absent
  • Performs other duties as required
